After hosting many weddings here on our family farm, we’ve noticed there are a handful of timeline mistakes that tend to happen over and over again. I thought I’d take the time to write them out in hopes of helping other Northern Virginia couples enjoy a smoother wedding day with less stress and more time soaking in all of the moments that truly matter.

One of the things we love most about what we do is seeing families come together. We love the couples who dream up beautiful DIY weddings, the parents who jump in wherever they’re needed, and the friends who stay up late the night before making sure every fake candle has batteries and every table looks just right. Those are some of our favorite memories to witness.

But even with the most organized families—the ones who have “done this before,” planned other weddings, or have plenty of helping hands—we’ve learned one thing.

Having a good day-of coordinator who isn’t afraid to gently direct people, keep everyone on schedule, answer questions, and protect the timeline you’ve carefully planned makes an incredible difference.

It’s one of those expenses many couples initially think they can skip.

“We don’t need one. My sister got married. My best friend planned her own wedding. Our family has this covered.”

The truth is, there are hundreds of little behind-the-scenes decisions happening throughout your wedding day that you simply can’t anticipate until you’re living it. Even if you’re naturally detail-oriented, your wedding day shouldn’t be spent answering questions, solving problems, or telling vendors where to be.

And it certainly shouldn’t fall on your parents, siblings, or closest friends.

Those are the people you want laughing with you, crying during the ceremony, dancing with you, and enjoying every moment alongside you.

You want to remember each hug, every happy tear, every meaningful conversation, every quiet moment together as husband and wife—and yes, even Uncle Jerry’s slightly awkward toast that no one quite expected.


Build Buffer Time Into Your Wedding Day

Another mistake we see quite often is not allowing enough buffer time.

If everything runs ahead of schedule, that’s wonderful.

But when you’re running even ten minutes behind, everyone starts to feel it.

Suddenly vendors are rushing, family members feel stressed, and the day begins feeling like one deadline after another instead of a celebration.

Your wedding day should feel like you’re flowing naturally from one beautiful moment to the next—not racing to catch up.

We always recommend building in about 10–15 minutes of extra time between major events.

That extra time accounts for things like:

  • Hair and makeup touch-ups
  • Bathroom breaks
  • A quick snack
  • A few extra family photos
  • Unexpected hugs and conversations
  • Those classic Southern goodbyes that somehow take fifteen minutes

You’ll rarely regret having a little extra breathing room.


Make Sure Guests Aren’t Waiting Too Long to Eat

One thing that often surprises couples is how short a wedding ceremony actually is.

Most ceremonies last around twenty minutes.

That means your cocktail hour or dinner needs to be completely ready by the time your ceremony begins. Drinks should already be poured, appetizers prepared, and dinner either being served or staying warm.

If guests are left waiting a long time before eating, it can unintentionally make the day feel less organized—even when everything else is beautiful.

If you’re planning family portraits immediately after your ceremony, a cocktail hour is one of the best ways to keep guests comfortable.

Whether you choose alcoholic beverages, mocktails, lemonade, sweet tea, or another favorite drink, along with a few appetizers, it gives everyone something to enjoy while your photographer captures those important family photos.

It also gives you and your new spouse a few quiet moments together before the reception begins.


Don’t Forget Sunset Photos

Many couples try to fit every portrait into the hour immediately following the ceremony.

Instead, consider saving a handful of your favorite couple’s portraits for sunset.

Those few minutes together often become some of the most peaceful moments of the entire day.

The lighting is beautiful, you’ve had time to relax a little, and many of our favorite wedding photos have been taken just before the sun disappears behind the mountains here at Canaan Springs.


Yes…You Should Actually Eat

One thing everyone says after their wedding is,

“We never got to eat.”

Honestly, most of the time, that’s simply a planning issue.

Unless something unexpected happens or you’re simply too nervous, you absolutely should have twenty minutes set aside to enjoy your dinner together.

Earlier in the day, don’t forget light snacks, protein, and plenty of water.

Choose foods you already know you enjoy, that sit well with you, and that won’t leave you feeling sluggish.

Taking care of yourself throughout the day will help you enjoy every moment that follows.


Give Yourself Enough Time to Pack Up

The final mistake we regularly notice is not planning enough time—or enough help—for cleanup.

Whether you’re packing decorations, loading gifts, gathering personal belongings, or checking out after staying overnight, having enough people helping makes all the difference.

Without a plan, it’s easy to start throwing things into boxes, accidentally leave sentimental items behind, or feel rushed trying to meet your venue’s cleanup requirements.

You’ll almost always thank yourself later for asking two or three extra family members or friends to stay behind and help.

It’s a small investment that makes the end of the evening much more enjoyable.


A Final Thought From Our Family

These are the things we’ve noticed over the years right here at Canaan Springs, whether we’re coordinating a wedding, providing trusted bartending coordination, checking in throughout the day, or simply watching another beautiful celebration unfold from the sidelines.

Weddings are a big deal for so many reasons.

They’re a celebration of two families coming together.

They’re probably the biggest party you’ll ever host—and likely one of the largest investments you’ll ever make.

But even more importantly, they’re the beginning of your marriage.

Our hope is that when you look back years from now, you don’t remember feeling rushed.

You remember laughing with your grandparents.

Holding your spouse’s hand during sunset.

Eating dinner together.

Dancing with your friends.

Watching your family celebrate around you.

Those are the moments that last.
